Summary

Provides technical and business support to a SRP department.  This includes support on special cost and efficiency studies within department which requires data collection, compilation, preliminary analysis and presentation. This includes reviewing, documenting, organizing, and tracking many aspects of design and construction projects, supporting processes, and departmental documents.  Also responsible for the collection, preparation and presentation of departmental performance measures, such as budget preparation, budget tracking and reconciliation.  Acts as a liaison to other SRP service organizations in tracking costs, changes in service and problem resolutions.  Support shall be provided with an emphasis on effective communication, customer service, and a problem-solving attitude. This position also includes administrative assistant duties such as, coordinates correspondence and reports, updates distribution lists, provides word processing, develops presentations, and spreadsheet support to departmental staff.

What You'll Do

  • Collect and prepare data in support of special project assignments for management
  • May monitor and reconcile different activities such as budgets, performance, accounting, costs, etc.
  • Develop and presents various reports to management
  • Collect, prepare and present various departmental performance measures to management
  • Act as liaison between department and other service providers, to initiate and track changes in service level and cost in other service groups and departments
  • Act as computing systems security officer for the department
  • Attend meetings in the office and on construction sites to take notes, provide project assistance, and contribute to the project team
  • Process the review and approval of Material Safety and Data Sheets (MSDS), submittals, Request for Information (RFI), Asbestos Survey, and SAFE applications for all Facilities PMO projects
  • Perform a variety of miscellaneous business-related tasks such as, but not limited to, open/screen/distribute department mail, manage calendars/schedule appointments, creation of weekly and biweekly reporting, creation of presentations and digital filing
  • Manage projects folder data base, project forms, documents, Design Review calendar, and assisting in process and document updates as requested

What It Takes To Succeed

  • Confidentiality: Employee will be required to perform calculations which depict future scenarios, such as budget, staffing levels, pay rates, etc. Budget responsibilities: Budget expenditures. 
  • Superior oral and written communication skills (accuracy, professionalism, confidentiality, etc.)
  • High proficiency in Microsoft Office software (Word, Excel, PowerPoint, etc.)
  • High proficiency in PDF software application (Adobe Pro, Bluebeam Revu, etc.)

Experience

At job entry, placement will be determined by a review of college transcripts and related work experience.  A minimum of 6 years of related experience is required for the senior level.  Once placed into the job family, an employee may become eligible for promotion by demonstrating the ability to perform advanced and more difficult work as determined by their management and meeting experience requirements.  

Education

College level coursework (100+) from an accredited institution will be evaluated on an individual basis according to the skill/level to determine if applicable to the position by management.

 

Hybrid Workplace

SRP currently offers a hybrid workplace, which allows employees whose jobs can be performed remotely, and who have sufficient technical capability, to telework up to three days per week. Although teleworking is available, all employees must live and work in Arizona.
